Practice Pro is a fully integrated, web-based medical solution for outpatient physical, occupational, and speech therapy practices. The suite of applications offered includes Electronic Medical Records (EMR), Medical Billing Software, and Patient Scheduling Software. The software is customizable, and the vendor listens to your needs and makes every attempt to shape your software to those needs. The dashboard and its reporting capabilities allow me to manage my practice quickly, allowing me to focus on more important details of my practice. Every staff member has their own dashboard, and they can see how they are doing and how they are performing in the company.
Because of the customizability, I find myself always thinking about how to improve the software for my company, and this takes a lot of planning and time. PT Practice Pro can help you with some of this planning, but remember that not everything can be done by PT Practice Pro.
Create a spreadsheet with a list of your needs and ask every vendor you encounter if each and every one of those needs can be met. Also, create a spreadsheet of the costs, because many of the software companies have hidden costs or their listening fees seem cheaper than others, but when you look at a five-year cost analysis, they are all almost the same. Some vendors charge by the visit (like PT Practice Pro), and others charge for listing full time and part time staff. In all honesty, when you factor all the costs in, they seem to be very close in price, so if you find that, go with the one that best fits your needs.
Also, contact people with the software, not the software company themselves, and ask them if you can demo the product. If they are within your city, set up an appointment to watch it in action or use a online meeting software to review the product online with them. The vendors don't seem to have a good database with patients and do not show how the software flows well for your practice usually. You will be able to see this easily when you review it with a fellow PT.
Remember that software is a tool and not the means to an end. Software can't do everything you want it to do. That is just reality. And if you want to make improvements to it and decrease your time charting and managing your practice, then you have to spend a lot of time setting up the system to meet your needs. PT Practice Pro and the other software companies can help with this, but it is done mostly by you. This is an important concept to understand. It takes time to make it right.

The vendor is easy to get a hold of and able to correct problems in a timely manner. My specific job requires I switch screens quickly, look for available appointments, and pull up previous charts. Practice Pro navigates easily and quickly, making my job run smoothly. Patients often want to get off the phone as soon as possible. I need a product that will run quickly, give me the information I need immediately so I can assist the patient, and move on to the next patient.
I tend to look at the schedule a week at a time, and the line dividing the days is too light. Also, when filling out the patient information, if I do not have the social security number, it is time-consuming to go through previous patients that do not have social either. I would prefer not to have that feature. Then, when adding an additional insurance if the patient has two of the same insurance carriers, the system will not save the second insurance. I receive an error message. It usually takes me 3-4 times trying to trick the system to get it to take the second insurance. Also, when sending a dash back and forth, the system does not keep history of the senders. After it has been sent a few times, it's difficult to know who originated the message.
Use the system for a day just to see how smoothly you are able to accomplish a task. Some systems are repetitive for the same outcome. The less you have to repeat inputting the information, the more time you have to complete other tasks.

I like that this product is user-friendly!! It's not a complicated system. The reports on the system can be run many different ways, which is very helpful. I also love the e-files; this feature helps in keeping paper documents to a minimum. The dashboard feature also keeps everyone abreast of their to-do list. I love it! I love that everything that needs to be done in the practice can be done from one system and that you are working with one support team.
There's a feature that I would like to see enhanced, although it works well the way it is. The feature is the "advanced payment"; I would like to be able to click on the patient payment and hit a button to make it automatically post. Otherwise, there isn't a feature that I dislike.
I would urge each department head (manager, supervisor etc) to take a look at the system and see how this system meets their day-to-day functionality needs. This is a complete system in terms of Front Office use (scheduling, payment posting, etc.), Billing use (charge review, claims submission, batch reports, A/R reports, patient statements etc), Documentation, and Practice Management. Most importantly, it's easy to use and navigate, which is important in terms of productivity.

My favorite feature is being able to access multiple accounts as well as having multiple windows open at one time. It is great for a multi-tasker like myself which saves me a lot of time.
It was a bit hard to learn the features but once you're well trained it is easy to use and support was excellent in helping.
